Carlos Machupicchu complies with current tourism regulations in Peru. Therefore, our booking and service policies are governed by the applicable Peruvian legislation.
Basic Information
To confirm your reservation, the following personal information is required:
- Full name (exactly as it appears on your passport)
- Personal email address
- Name and phone number of at least one emergency contact
- Type of accommodation (if applicable)
- Passport number
- Nationality and country that issued the passport
- Date of birth
- Gender
Deposit to Reserve
To secure your spot on any tour or trek, a deposit of 100% of the booking amount is required. Payments can be made via PayPal or VISA card (with a 6% surcharge for the operator’s commission). All deposits are non-refundable and non-transferable.
Your reservation will be considered confirmed once a written confirmation is issued after receiving the deposit. It is the traveler’s responsibility to verify that personal details match exactly those on their passport.
Machu Picchu and Inca Trail Permits
Entrance tickets to Machu Picchu and Inca Trail permits are strictly personal and non-transferable. Peruvian authorities do not allow changes of name, date, or cancellations.
In the event of an official closure of the Inca Trail due to safety or maintenance reasons, an equivalent alternative route will be offered.
Holiday or Election Surcharges
An additional surcharge applies, upon prior coordination, for departures during the following dates:
- Christmas (December 22–25)
- New Year (December 29–January 1)
- Election days in Peru (due to the legal obligation to vote)
This surcharge covers staff bonuses or adjustments required by law.
Medical Information
- You must inform us of any medical condition, allergy, or special requirement at the time of booking.
- Participants must be in good physical condition. Travelers over 70 years old must present a valid medical certificate of good health.
- It is the traveler’s responsibility to assess their physical condition and consult their doctor about necessary vaccines, altitude, or medical precautions.
- Pregnancy cases must be disclosed. Individuals beyond 24 weeks of pregnancy may not be accepted for safety reasons.
- Carlos Machupicchu reserves the right to deny participation if a health condition is deemed a risk to the person or the group.
Travel Insurance
We recommend having comprehensive travel insurance that covers accidents, medical expenses, evacuation, cancellations, and loss of luggage or personal belongings.
Cancellations
All deposits are non-refundable. Additionally, the following penalties apply depending on the cancellation date.
If a traveler cannot continue for health reasons during the tour, assistance will be provided, but no refunds will be made. A statement may be issued for insurance claims.
Right to Use of Image
By participating in our tours, you grant permission for the use of your image, voice, or appearance in photographs, videos, or other promotional materials, without additional compensation.
Force Majeure
Events beyond our control (strikes, weather conditions, natural disasters, political unrest, among others) may cause delays or cancellations. In such cases, refunds are not guaranteed, but alternatives will be offered whenever possible.
Tours and Treks
- Group tours may include travelers with different physical levels and languages. The guide will adapt the itinerary as best as possible.
- If you wish to leave the group, you must inform the guide in advance.
- Although all necessary precautions are taken, Carlos Machupicchu is not responsible for accidents, illnesses, losses, or delays beyond its control. Travel insurance is the traveler’s responsibility.
Pre-Tour Briefing
The briefing is held the evening before the tour, at 6:00 p.m., at our office or the designated meeting point. If you cannot attend, please coordinate an alternative in advance.
Strikes in Peru
Occasionally, strikes may occur that affect transportation or logistics. In such cases, adjustments such as early departures may be made. Traveler safety will always be the top priority.
